This document provides information on the processing of personal data and the use of cookies within the docusphere.ai portal.

1. Personal data controller

3. Data Protection Officer

The Controller has appointed a Data Protection Officer, whom you may contact in matters related to the protection of personal data, including requests to exercise rights granted under applicable law.

4. Your rights

To the extent provided by law, persons whose data we process have the following rights:

  • the right of access to personal data,
  • the right to request rectification of personal data,
  • the right to request erasure of personal data,
  • the right to request restriction of processing,
  • the right to object to processing,
  • the right to data portability,
  • the right to lodge a complaint with a supervisory authority.

The supervisory authority in Poland is the President of the Personal Data Protection Office:

Where the legal basis for the processing of personal data is consent, you have the right to withdraw your consent in any manner and at any time. Withdrawal of consent does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.

5. Processing of data of website and demo users

5.1. Purpose of personal data processing

We process your personal data to enable access to the website and demo, as well as to allow you to view their content.

Providing personal data is voluntary. However, failure to provide such data may result in refusal to provide additional demo or advertising content.

If you give your consent, your personal data may also be processed for the following purposes:

  • statistical purposes,
  • scientific purposes,
  • product development,
  • accounting,
  • marketing,
  • sales of other products,
  • targeting,
  • purposes related to the use of cookies.

5.2. Legal basis for personal data processing

We will process your personal data for the purpose of performing a contract or taking steps at your request prior to entering into a contract, on the basis of Article 6(1)(b) of the GDPR.

Personal data necessary for the administration and management of the website will be processed on the basis of Article 6(1)(f) of the GDPR, i.e. the legitimate interest of the Controller. In this case, that interest consists in enabling application error diagnostics and improving the quality of the application.

In each case, we may also process your personal data on the basis of consent granted to us, i.e. under Article 6(1)(a) of the GDPR. This applies when you provide us with more data than is required by law or by the nature of the matter concerned.

Please remember that you may withdraw your consent at any time. This will not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.

5.3. Recipients of personal data

Recipients of personal data may include entities providing services to the Controller, in particular:

  • IT services,
  • accounting services,
  • legal services,
  • advisory services.

As a rule, we process data within the European Economic Area.

In providing our services, we may be supported by external service providers to whom we may transfer your data. Certain processing activities may involve the transfer of personal data to third countries, i.e. countries located outside the European Economic Area where the GDPR does not apply.

Such transfers are permitted in particular where the European Commission has determined that a given third country ensures an adequate level of data protection.

5.4. Personal data retention period

We will store personal data for a maximum period of 1 year from the date on which it was provided.

We will delete data stored for advertising purposes if you object to processing for that purpose and if the data is not required to achieve any other purpose.

5.5. Obligation to provide personal data

Providing personal data is voluntary. However, failure to provide such data may result in refusal to provide additional demo or advertising content.

A person using the chatbot demonstration provides personal data concerning themselves at their own responsibility.

5.6. Appointment scheduling

If you choose to book a discovery session through the Google Calendar Appointment Scheduling widget, personal data provided in the booking form, such as your name, e-mail address, selected time slot and any message you submit, will be processed to schedule and manage the meeting.

The legal basis for this processing is taking steps at your request prior to entering into a contract and the Controller’s legitimate interest in handling business inquiries and arranging meetings.

The appointment scheduling tool is provided by Google. It is not loaded automatically for analytics purposes; it is initiated when you use a booking link or button. Google may process personal data as an external service provider according to its own terms and privacy rules.

6.1. Purpose of personal data processing

We process your personal data in order to handle an inquiry submitted to us by e-mail at: biuro@medsi.pl.

Further processing may also be carried out for the purpose of establishing, pursuing or defending against claims.

6.2. Legal basis for personal data processing

We will process your personal data on the basis of the Controller’s legitimate interest, i.e. Article 6(1)(f) of the GDPR.

The Controller’s legitimate interest consists in handling received inquiries and ensuring legal protection that enables the Controller to establish, pursue or defend against claims.

6.3. Recipients of personal data

Your personal data may be disclosed to external entities providing services to the Controller, in particular:

  • legal services,
  • advisory services,
  • IT services.

In addition, your personal data may be disclosed to public authorities authorized to receive it.

We process your personal data only within the European Economic Area.

6.4. Personal data retention period

We will store your personal data for the period necessary to handle your inquiry and, subsequently, for the limitation period for claims resulting from generally applicable law.

6.5. Obligation to provide personal data

Providing personal data is voluntary. However, failure to provide such data will make it impossible to respond to an inquiry where identifying the person is necessary, for example in the case of a request to exercise rights.

7. Cookies

We use cookies on our website. Cookies are small text files installed and stored on your end device, such as a computer or smartphone.

We use necessary cookies, i.e. cookies without which the use of this website would not be possible.

We may also use optional analytics cookies, including Google Analytics, to understand how visitors use the website. These analytics tools are disabled by default and are loaded only after you give consent in the cookie settings.

The Google Calendar Appointment Scheduling tool may use cookies or similar technologies needed to display and operate the booking flow. The booking tool is loaded only after you click a booking button or link.

If you do not wish to receive cookies, you may change your browser settings. Please note that disabling cookies necessary for authentication, security and maintaining user preferences may make it difficult, and in extreme cases impossible, to use the website.

8. Final provisions

MedSI sp. z o.o. reserves the right to update this Privacy Policy at any time by publishing a new version on the website.

Continued use of the services after changes to this Privacy Policy have been introduced will be deemed acceptance of those changes.

Each User is requested to read this Privacy Policy before creating an account and providing personal data.

Use of MedSI websites means that the User has read the Privacy Policy and accepts its content.
